Privacy Policy

Last updated: October 24, 2025

Look, we get it - nobody actually enjoys reading privacy policies. But we're gonna be straight with you about what info we collect and why. No corporate nonsense here.

Introduction

Welcome to Emberion Crown Auto Masters. We're a small shop based in Toronto that's passionate about European vehicles, and we take your privacy seriously - not because some lawyer told us to, but because we'd want the same respect if we were in your shoes.

This policy explains what personal info we collect when you visit our shop, call us up, or use our website. We're not in the business of selling your data or spamming you with junk. We're here to fix cars and build relationships with our clients.

By using our services or website, you're agreeing to what's outlined here. If something doesn't sit right with you, give us a call at (416) 555-8347 and let's talk about it.

Information We Collect

When you reach out for service or bring your car in, we'll need some basics:

  • Contact details - name, phone number, email address (so we can actually get in touch about your vehicle)
  • Vehicle info - make, model, VIN, service history (kinda essential when we're working on your ride)
  • Payment info - credit card or banking details for processing payments (we don't store full card numbers on our end)
  • Service preferences - any specific requests or notes about how you want things done

We only ask for what we actually need. You won't catch us asking for your life story or social insurance number unless there's a legitimate reason.

Our website collects some technical stuff automatically - nothing creepy, just standard web things:

  • Device info - IP address, browser type, operating system
  • Usage data - which pages you visit, how long you stick around, where you came from
  • Location data - general geographic location (we're not tracking your every move, just city-level stuff)

This helps us figure out if our website's actually working properly and what people are interested in.

Yeah, we've got cameras in the shop. It's not about not trusting you - it's about protecting both your vehicle and our equipment. The footage is stored securely and only reviewed if there's an incident or dispute. We don't sell it, share it, or post it online for laughs.

How We Use Your Information

Here's the deal - we use your info to actually provide the services you're paying us for. Pretty straightforward, right?

Service Delivery

Scheduling appointments, performing diagnostics, ordering parts, completing repairs, and keeping you updated on your vehicle's status. You know, the actual work.

Communication

Calling or emailing you about your service, sending appointment reminders, following up after work's completed, and answering any questions you've got.

Payment Processing

Billing you for services, processing payments, keeping financial records for tax purposes. Standard business stuff that keeps the lights on.

Improvement

Analyzing what's working and what's not with our services and website, so we can get better at what we do. Simple as that.

Marketing Note: We might occasionally send you info about promotions or new services, but only if you've okayed it. And you can opt out anytime - we won't take it personally.

Sharing Your Data

We're not in the business of selling your personal info. Period. But there are a few situations where we might need to share it:

Parts Suppliers & Vendors

Sometimes we need to share vehicle details with parts suppliers or specialty service providers to get the right components or services for your car. They only get what's necessary for the job.

Payment Processors

When you pay by card, your payment info goes through secure third-party processors. We use reputable companies that comply with all the financial security standards.

Legal Requirements

If the law requires us to hand over information - like for a court order or government investigation - we've gotta comply. We won't like it, but we'll do what's legally required.

Business Transfers

If we ever sell the business or merge with another shop (not planning on it, but you never know), your info would transfer to the new owners. We'd make sure they respect your privacy too.

Emergency Situations

If there's a genuine safety concern or emergency involving you or your vehicle, we might need to share relevant info with authorities or emergency services.

Cookies & Tracking

Yeah, we use cookies - but not the chocolate chip kind (though we've usually got those in the break room). Web cookies are tiny files that help our website remember you and work better.

What We Use Cookies For:
  • Essential cookies - these keep the site functioning properly, like remembering your session
  • Analytics cookies - help us understand how people use the site so we can improve it
  • Preference cookies - remember your settings and choices

Most browsers let you control cookies through settings. You can block 'em if you want, but some parts of the site might not work as smoothly. Your call.

Third-Party Tracking: We use Google Analytics to see how folks interact with our site. Google's got their own privacy policy that covers how they handle that data.

Data Security

We take security seriously - probably more seriously than we take our coffee orders. Here's what we do to protect your info:

Encryption

All sensitive data gets encrypted both when it's moving around and when it's stored. Industry-standard stuff.

Access Control

Only staff who actually need access to your info can see it. Everyone's trained on privacy practices.

Secure Storage

Physical records are locked up, digital records are protected with firewalls and security software.

That said, no system's 100% foolproof. We do our best, but if there's ever a breach, we'll let you know right away and tell you what's being done about it.

Your Rights

It's your data, so you've got rights. Here in Canada, privacy laws give you some solid protections:

Access Your Info

You can ask to see what personal info we've got on file about you. We'll show you within a reasonable timeframe.

Correct Your Info

If something's wrong or outdated, let us know and we'll fix it. We want accurate records too.

Delete Your Info

You can request deletion of your personal data, though we might need to keep some stuff for legal or business reasons (like tax records).

Withdraw Consent

If you've opted into marketing emails or other non-essential stuff, you can opt out whenever you want.

Ask Questions

Got concerns about how we're handling your data? Reach out and we'll explain what's going on.

To exercise any of these rights, just shoot us an email at service@emberioncrown.info or give us a call. We'll respond within 30 days.

How Long We Keep Your Data

We don't hang onto your info forever. Here's our general approach:

  • Service records - we keep these for 7 years minimum, mostly for warranty purposes and in case there's any disputes down the road
  • Financial records - gotta keep these for 7 years too, because that's what the tax folks require
  • Marketing data - if you unsubscribe, we'll delete your marketing info within 30 days
  • Website analytics - this data gets aggregated and anonymized, so it's not really "your" data anymore after a while
  • Security footage - typically deleted after 30 days unless there's an incident that needs documentation

Once we don't have a legitimate reason to keep your data anymore, we'll securely delete or anonymize it.

Questions About Your Privacy?

Look, we know privacy policies can be confusing. If you've got questions or concerns about how we handle your info, don't hesitate to reach out. We're happy to talk it through.

If you're not satisfied with how we've addressed your privacy concerns, you've got the right to file a complaint with the Office of the Privacy Commissioner of Canada. But honestly, we'd rather work it out directly with you first.

Changes to This Policy

We might update this privacy policy from time to time - usually when laws change or we add new services. If we make any major changes, we'll let you know through email or a notice on the website. The "last updated" date at the top will always reflect when the latest version was posted.

Thanks for trusting us with your vehicle and your personal info. We don't take that lightly.
